Group Orders in the Back Office

Create 'Group Orders' for your Customer, with multiple people selecting their own food and drink

Group Orders allow Customers to make their own food requests that are part of one large Order. They are useful when there are multiple people ordering different food for the same Order that is paid for and fulfilled together.


Activate Group Orders

To Activate Group Orders, an extra monthly fee will be billed to your account.

  1. To Enable Group Orders, go to Setup > Online Ordering > Options.

  2. Check the box labeled 'Group Orders.'

  3. Click 'Confirm' on the pop-up, indicating that you agree to be billed extra each month for the service.

    1. Be sure to consult and confirm with your team before enabling Group Orders.

  4. Check the other Group Order boxes to customize the process.


Add a Group Order in the Back Office

Group Orders can only be placed only on the Online Ordering Site as an Online Order. However, it's possible to create one, or change a normal order to a Group Order in the Back Office.

In the Order Module, a Group Order is labeled with a (G) near the Order Number.

Change Regular Order to Group Order in the Back Office

While you can't create a Group Order in the Back Office, you can change an Order already created to a Group Order.

  1. Go to the Order Module.

  2. Click View/Edit.

  3. In the Order Details Tab, check 'Is Group Order.'

  4. Click 'Save.' Then Click 'Confirm Order.'

Add a Group Order Guest's Selection in the Back Office

There's no way to add a person to a Group Order in the Back Office and send them a link to fill in their own Item Selections. This can only be done with a Group Order created on the Online Ordering site. Instead, guests added in the Back Office, must also have their Item Selections added in the Back Office.

  1. In the Order that you made to a Group Order, click the Item Selection Tab.

  2. Click Add Name.

  3. Add the Guest's Name and which Building and Room they are located in.

  4. Click 'Save Name.'

  5. When you go to add a Menu to the Order, choose a Guest from the Drop Down labeled 'Order Slot' to select the Guest.

  6. Click 'Add To Order.'

  7. In 'Your Choices,' find that Guest's name in orange with their Order Selection underneath.

  8. Click the red X to delete the Guest or their Order Selection.

  9. Click the orange pencil button to edit the Guest's Details or their Order.

  10. Click 'Save.' Then click 'Confirm Order.'

  11. Once the Order is completed and Confirmed, the Contact who created the Group Order receives an Order Confirmation Email. The individuals added in the back office don't get a Confirmation Email.


Adjust Group Orders in Menu Availability

You may choose to hide certain Menus from Group Orders. This might be if there are Menus portioned only for large parties or Menus that have a high minimum requirement.

  1. Go to the Menu Module.

  2. Find the Menu to make available for Group Orders.

  3. Click View/Edit.

  4. In the Details Tab, check 'Allow for Group Orders.'

  5. Click Save.


Production and Delivery

Information about Group Orders will be broken down for you in Production and Delivery Reports. the Orders Detail by Menu and Orders Detail by Item reports in the Production module show the items that are in the General Selection first and then orders allocated to individual guests on subsequent pages, with each persons name appearing in brackets after the Customer name.

Once the Group Order has been assigned to a driver in the Delivery module, click Group Labels at the bottom of the screen for printable labels that can be attached to each guest's part of the order.
