Create a Report that tracks payments made by card and how much a Customer spent

The Payment Card Transaction Report downloads an Excel spreadsheet that shows all Orders paid for by a card with a Payment Gateway in a given amount of time.

Why Is It Useful?

This Report is incredibly useful if your business primarily takes card payments through a Payment Gateway such as Square, Stripe, Authorize.net, or FreedomPay. You can track how much individual Customers are spending and account for overall Sales within a set time period.

Since the Report only tracks card payments, Orders paid for 'On Account' or 'Other,' won't be visible on this Report.

Note that this Report organizes data by the date the Payment was received. It does not filter by Order Date, or when a credit card was Validated or Pre-Authorized.

The Report is also a useful way to find Orders that have not yet been paid for. If you need to find a Payment ID to track a payment within your Payment Gateway, you can find it in the Payment Card Transactions Report.

Make the Report

To generate the Report, go to the Reports Module. Click Payment Card Transactions.

  1. A User can view data for Sites that they have User access to. If you want to see a specific Site or Location, select which one, or else select 'All'.

  2. Choose a Date Range by which to view the Transactions.

  3. Click Generate Report.

The Report will list the following:

  • Card Transaction Capture Date (when card payment was taken and finalized)

  • Payment Date (when the payment was actually taken)

  • Site

  • Customer Name

  • Customer Code

  • Delivery Date

  • Total Net

  • Tip

  • Total Tax

  • Grand Total

  • Paid by Card (yes or no)

  • Card Type

  • Payment Amount

  • Difference

  • Payment Reference Number (can be used to find payments in a payment gateway)

  • Cancellation Charges (if applicable)

  • Cancellation Charge Tax (if applicable)

  • Delivery Driver (if applicable)

  • Branch

  • Download Date of the Report
